Early Learning Executive Assistant

Puget Sound Educational School District seeks an Executive Assistant to plan, implement, direct, and maintain the assigned department by providing a wide variety of complex and confidential administrative and project implementation support; analyzing requests and providing recommendations for action; and communicating information to staff, other organizations, public agencies, and governing bodies. This position supports the Executive Director of Early Learning and provides support for other Agency leaders. This position also supervises a team of administrative assistants supporting the department.

Early Learning Program Hiring Requirements

  • Portable Background Check: All Early Learning Program hires must have a cleared PSESD fingerprint background check (Washington State Patrol and FBI clearance) and a cleared Portable Background Check (PBC) before their hire date, and every three (3) years thereafter as a condition of continued employment.  Applicants without a current PBC should consider completing a PBC during the application phase.   • Required Health Documentation to be completed within 30 days of official start date for all Early Learning staff, including:
    • Completed Medical Release Form
    • Tuberculosis clearance (if not included on Medical Release Form) 
    • MMR vaccine documentation (if not included on Medical Release Form)

Minimum Qualifications

  • AA degree in job related area and executive level administrative experience
    (High School Diploma/GED and progressively responsible job-related experience may substitute for AA degree)
  • Professional experience with the efficient management of multiple projects in a busy office environment
  • Experience with meeting and event organization and day of support
  • Writing, proofreading, and editing documents job-related experience
  • Experience inputting, manipulating, and analyzing data in a spreadsheet and/or database
  • Professional experience with budget preparation and tracking experience
  • Website, PowerPoint, and/or Desktop Publishing experience
  • Experience with virtual meeting and workspace platforms (e.g, Microsoft Teams, Zoom)
  • Experience supervising staff or others’ work

Preferred Qualifications

  • Experience supporting hybrid meetings/events (in person & virtual combined)
  • Ability to effectively collaborate and communicate with other departments, organizations, community members, and stakeholders.
